Email guidance for faculty, staff, graduate students, and student employees working with the Department of Microbiology and Immunology.
Faculty and Staff Email (FASmail)
The FASMail (Faculty & Staff Email System) is a mandatory email service for UBC faculty and staff conducting university business. This account provides a 50GB inbox, calendar, and task list, and it is accessible on Windows, Mac, Linux, and smart devices. Once you receive your UBC Employee ID and Campus-Wide Login (CWL), MBIM IT can assist with account setup.
Considerations
- Employment-based access — FASmail is tied to your employment status. If your employment changes, the FASmail account is deactivated and access ends.
- Microsoft 365 considerations — FASmail accounts for faculty and staff include access to the online version of the Microsoft 365 Office suite, and they also work with Microsoft Teams and Microsoft OneDrive. Students also have access to Microsoft 365 licensing for the Office desktop apps. Using both student and employee email identities can sometimes cause sharing or syncing confusion.
- Graduate student preference — graduate students currently using @student addresses may prefer to keep them, since those addresses can later transition to @alum and remain useful after graduation.
- University cost guidance — UBC covers FASmail account creation costs, so the university prefers the use of @student addresses whenever that option is appropriate.
Departmental email accounts for graduate students are case-by-case. There are situations where a Microbiology and Immunology departmental email account is needed for graduate students. MBIM IT reviews these requests case by case so we can understand the need and recommend the most appropriate setup.
Overview & guides
For MBIM members, the standard UBC email address is typically firstname.lastname@ubc.ca, assigned by default from the user’s Workday record. This address supports Microsoft 365 services such as Microsoft Teams and Microsoft OneDrive.
Please avoid non-UBC services such as Gmail, Hotmail, Outlook.com, and Yahoo for university business. Their use for university business may conflict with Protection of Privacy, FIPPA, and Privacy Matters guidance on personal information.

Mail Sentry
Mail Sentry is a UBC service that gives faculty and staff better visibility into messages that have been filtered and quarantined by UBC mail relays. It allows eligible users to log in, review quarantined messages in read-only form, and enable notifications when messages are caught.
- Helps you review messages caught by spam and policy filters.
- Can show items quarantined for spam, malicious URLs, restricted attachments, and DMARC-related failures.
- Available to eligible faculty and staff using CWL-authenticated UBC email addresses ending in ubc.ca.
- Free to eligible faculty and staff.
A small number of legitimate emails can still be quarantined, especially when the sending organization has misconfigured email security or is using a service with a poor reputation.

Graduate and Undergraduate Students
UBC students and alumni are eligible for a combination of email aliasing, forwarding, and UBC-hosted mailbox services. Student mailbox services provide up to 20GB of storage. Users of this service may obtain a UBC email address in the form cwl@student.ubc.ca, which can be forwarded to either an external or UBC-hosted mailbox. To sign up for student email, visit the CWL myAccount portal and click Activate Student Email. You must be registered in a course and in good standing to be eligible.
